Retire and dispose of devices with evidence and replacement planning

The lifecycle ends with a structured retirement review, controlled disposal, evidence capture, and replacement planning where needed. Governance rules that apply earlier in the lifecycle also gate the retirement and disposal decisions.

By the end of this stage: Disposal stops being an untracked endpoint and becomes a governed, auditable closure process with a full evidence trail.

Modules involved: Retirement Reviews, Disposals, Retirement & Disposal Dashboard

What to do

1. Assess retirement properly

Record the reason, failure context, support outlook, and replacement recommendation before disposing of the asset. The retirement review is the decision record.

2. Route the decision through governance

Approve or reject the retirement review using the same governance model that controls earlier lifecycle stages. Rejected reviews return to the facility for reconsideration.

3. Complete disposal with evidence

Capture method, vendor, certificate, chain-of-custody, and supporting documents before the record closes. The disposal record is the final evidence that the asset was handled correctly.

4. Use the closure data for planning

Org dashboards and exports expose hotspots, closure quality, and replacement budget pressure across all facilities so planning decisions are based on real data.

5. Work from the eligible list

The retirement-eligible feed collects the devices that have reached the point where retirement should be considered — age, support status, fault history, or a disposition decision pointing that way — so the conversation starts from evidence instead of from whoever noticed first.
