Layer procurement and finance depth when the feature is enabled

Commercial procurement is deeper than intake. It adds funding registries, vendor bids, award decisions, purchase orders, invoices, payments, and reconciliation where the tenant needs that depth.

By the end of this stage: Teams can move from a simple acquisition flow to a procurement-controlled flow without breaking the earlier intake records.

Modules involved: Funding Registry, Vendor Bids, Awards, Purchase Orders, Invoices, Payments

What to do

1. Confirm funding and sourcing

Track funding availability before committing. A funding source records where the money comes from — internal budget, donor grant, government subsidy, insurance, a public-private partnership, or a loan — and a funding line is an allocation under it, with an expense class (capital or operating) and an allocated amount. Decide whether the request also needs a procurement-managed path with formal bid collection.

2. Compare vendors properly

Collect bids or vendor responses in a structured way. Vendors are drawn from the Counterparties registry so bid records link back to real organizations.

3. Convert decisions into purchase records

Capture award decisions, purchase documents, and commercial commitments once the winning vendor is selected.

4. Close the financial trail

Track invoice and payment evidence when commercial depth is switched on for the tenant. Invoices are issued and then settled; the ledger shows what is still open, and the reconciliation view reports the organizations where the provider's state disagrees with the catalog.

5. Track the contract that carries the obligation

A vendor contract is attached to a specific device record and records what the vendor owes: the contract type (maintenance, warranty, service level, lease, or calibration), the coverage window, the response time promised, and the renewal status. It is what turns a repair history into an argument when a vendor misses an SLA.
