Choose a plan and keep billing straight
The plan sets what the organization may hold: how many device records each facility can carry, how many users can join, and how many facilities the plan covers. Everything in the earlier stages runs inside those limits.
What the plan controls
- Device records per facility — the cap on active records.
- Users — the cap on people in the workspace.
- Facilities — how many facilities the plan covers. When the organization has more facilities than the plan allows, the extra ones open read-only: the application refuses writes and says why, rather than discarding data.
The quota view shows current usage against each limit and flags anything over its allowance.
Choosing and changing a plan
Paid plans are chosen per billing interval — monthly, quarterly, or annually. Choosing a paid plan returns a checkout to complete with the provider; moving to the free tier applies immediately. A plan change can also change the interval without changing the tier.
Invoices and manual billing
Not every organization pays by card. An organization can be provisioned manually: the plan and an active subscription are set immediately, and an invoice is issued for the term. That invoice is then settled, which is what makes the payment visible in the ledger. The invoice ledger shows what is issued, paid, or overdue across organizations.
Cancelling and reactivating
Cancelling stops renewal at the end of the paid term; access continues until then. Reactivating before the term ends restores renewal. The subscription overview shows the term end, whether the subscription renews, and the card on file.
Keeping the payment method current
The subscription details view shows the card type and last four digits, and the provider hosts the page where the card is actually updated — card data never passes through Ovahol.
Administration surfaces
A Super Admin sees more than a single organization does: the plan catalog, provisioning an organization by invoice, replaying a provider payment reference for a webhook that never arrived, the full subscription list, and the reconciliation view that compares each organization's catalog plan with what the provider holds. These are administrative tools, not part of day-to-day facility work.
